Customer Service


Our business in Japan is growing, and we are looking for a Customer Service coordinator to assist our sales team and deal directly with clients from our office and showroom in Aoyama, Tokyo.

Job description
Your main responsibilities will include:
Preparing quotations and sales contracts, ultimately assisting sales to achieve sales target

Order processing, from receipt of order to delivery, invoicing, preparing shipments in cooperation with Denmark in case of delivery issues

Follow up invoicing and payment issues with customers

Regular administration of data input and updates including customer/meeting/project information

Administrative support of the sales team (e.g. meeting the clients if necessary)

Regular communication with customers Assistance in project management/engaging with contractors when needed

Organization of office and showroom including updating and tidying and taking care of office supplies

Welcoming guests at the showroom

Supporting colleagues for marketing events if necessary

Your profile
You have at least 5 years of experience with order processing or customer service in an international company with an ERP system

You are structured and well organized, positive and proactive

You are honest, patient, detail-oriented, open-minded and service-minded

You have a strong sense of responsibility and a great passion for your work

You are willing to acquire new skills and to face new challenges

You are a good team player who also thrives when you work independently

Knowledge and skills required
Bachelor degree or higher Good command of written and spoken Japanese and English

Excellent communication skills Skilled in computer programs (MS Office)

Experience with CRM system
