At Kvadrat, we create high quality textile and textile related products that help architects to shape architectural spaces, designers and furniture manufacturers to produce and craft furniture, and consumers to bring tactility and color into their private homes.

We are now looking for a new Specialist Customer Service to be based in our Tokyo Showroom and Office, to assist our sales team in sales order process and customer service.


Your Role
You will work closely with Sales and other stakeholders to strategically contribute to the sales process.

Main responsibility include:

  • Prepare quotations and standard agreement in cooperation with Sales team, as well as processing orders in ERP system, from inquiry to invoicing.
  • Arrange shipments in cooperation with our head-quarter in Denmark.
  • Follow up payment issues with customers and finance.
  • Assist customers in request on the phone and by e-mail.
  • Customer registration in system.
  • Sample management for showroom as well as sample ordering and delivery per request from sales team.
  • Assist sales team in project management to improve data quality.
  • Handling customer complaint together with sales rep.
  • Office and showroom daily maintenance.
  • Administrative and clerical support to the sales team.
  • Greeting guests at the showroom when needed.
  • Miscellaneous tasks as assigned.

Your Profile:

  • Above 2 years’ working experience in an international company with a strong service mind.
  • Customer service or relevant order process background with hands-on ERP system experience is preferable.
  • Structured and well organized, positive and proactive.
  • Honest, patient, detail-oriented, open-minded.
  • A strong sense of responsibility and commitment to your work.
  • Flexible and ability to multi-task as well as prioritise.
  • Able to work independently, but also a great team player.
  • Passion for design and art is a big plus.

Knowledge and Skills Required:

  • Bachelor’s degree or similar level education.
  • Native Japanese speaker.
  • Business level in English, both speaking and writing.
  • Good communication and coordination skill.
  • Proficient at office software (Microsoft).
